ChatGPT Prompts for Office Work: Emails, Reports, Excel, HR

The best ChatGPT prompts for office work give the tool six things: a role, a clear task, the context (without confidential details), the format you want, constraints on tone and length, and an example where useful. Add one safety line to every prompt: “Do not invent facts; leave a placeholder in square brackets for anything I have not given.” The examples below for emails, reports, Excel, teachers and HR work in ChatGPT, Gemini, Copilot, Claude or any similar assistant.

PointPosition
Six building blocksRole, Task, Context, Format, Constraints, Example
Standard safety line“Do not invent facts, figures, names, laws or references. Leave gaps in [square brackets].”
Personal detailsUse placeholders like [Client Name]; fill them in after copying the draft
SummariesPaste the actual public text; never ask the tool to summarise a document it has not seen
Excel formulasState your Excel version and column layout; test on rows you can check by hand
Numbers in reportsGive your own figures; let the spreadsheet calculate, not the chat tool

How to write a good prompt: the six building blocks

A one-line prompt such as “write an email to my boss” forces the tool to guess everything. Fill the gaps yourself:

  1. Role: “Act as an experienced office administrator.”
  2. Task: “Draft a reply email.”
  3. Context: what happened, who the reader is, what you want. Leave out names, phone numbers and account details.
  4. Format: “Under 150 words, subject line, three short paragraphs.”
  5. Constraints: “Polite but firm, Indian English, amounts in lakh and crore.”
  6. Example: paste a past email whose tone you liked.

Then refine with short follow-ups: “shorter, maximum 80 words”, “warmer, this is an old client”, “give three subject lines”. For complex tasks, add: “First ask me up to five questions.”

ChatGPT prompts for office work: emails and letters

Delayed delivery: “Act as a customer service executive at a furniture maker in Jaipur. Draft an email to a corporate client explaining that their 40 office chairs will arrive on [new date] instead of [old date] because a supplier delayed the fabric. Offer free installation as goodwill. Professional and warm, not over-apologetic, under 150 words, with a subject line. Use [Client Name] and [My Name]. Do not invent facts.”

Payment reminder: “Draft a second reminder to a customer whose invoice [number] for ₹[amount] was due on [date]. Firm but courteous; ask for a payment date within seven days. Under 120 words.”

Hindi reply: “Translate my reply below into simple, polite Hindi for a WhatsApp message to a customer. Avoid heavily Sanskritised words.” Get an important translation checked by someone who reads Hindi well.

Prompts for reports, summaries, Excel and presentations

Circular summary: “Summarise the government circular pasted below for office staff. Give a 3-line summary, who it applies to, what action we must take and by when, and anything unclear. Quote dates and reference numbers exactly from the text. Add nothing that is not in the text. [paste]”

Monthly report, in stages: first “Suggest an outline for a 3-page monthly sales report for a regional manager”, then “Draft the highlights section in five bullets using only these figures: [your figures]. Do not calculate anything.”

Excel formula: “I use Microsoft 365 Excel. Column B has city, column C has month, column D has sales amount, headers in row 1. Give a formula for total sales of Lucknow in October and explain it simply.” A correct answer is =SUMIFS(D:D,B:B,"Lucknow",C:C,"October"). Test it on a few rows you can add by hand before trusting it.

Presentation: “Create an outline for a 10-slide induction presentation for new hospital staff in Kochi on ‘Patient data: what you must never share’. For each slide: title, 3 to 4 bullets, one line of speaker notes. No statistics; I will add verified figures.”

Prompt examples for teachers and HR

Teacher, lesson plan: “Act as an experienced Class 8 science teacher in a CBSE school. Create a 40-minute lesson plan on friction for 40 mixed-ability students: objectives, a 5-minute hook with everyday Indian examples, explanation, one group activity with ordinary classroom materials, three check questions and homework. Align with the NCERT chapter but do not quote it.”

Teacher, question paper: “Create 10 MCQs on the chapter pasted below, four options each, one correct answer and a one-line explanation. Mix easy, medium and hard. Use only the text.” Remove student names, roll numbers and marks before pasting any student work.

HR, staff circular: “I work in HR at a mid-sized company. Draft a short email to all staff reminding them to mark biometric attendance by 9:45 am. Do not blame anyone. Firm but respectful, two lines on why it matters for payroll accuracy, and whom to contact if the machine fails. Under 120 words.”

HR teams should never paste candidate CVs into an unapproved tool, and never let AI make a hiring decision.

Common prompting mistakes

  • Pasting real data. Use placeholders or dummy rows. Follow your employer’s AI policy on which tool may be used.
  • Asking for facts instead of drafts. Rates, deadlines and section numbers from a chat tool must be checked on official sources.
  • Accepting the first answer. Two or three follow-ups usually turn an average draft into a usable one.
  • Letting AI embellish. For CVs and product copy, add: “Do not add any skill, number or claim I have not given.”

Frequently asked questions

What are the best ChatGPT prompts for office work?

The best prompts state a role, the exact task, the context, the format, tone and length limits, and tell the tool not to invent facts. Ready examples for delay emails, payment reminders, circular summaries and Excel formulas are given above and can be reused with placeholders.

How do I write a good prompt for ChatGPT?

Write it like a brief to a new assistant: who they are, what you need, the background, the format and what to avoid. Then improve the draft with short follow-up instructions instead of starting again.

Can ChatGPT write Excel formulas?

Yes, it is good at writing and explaining formulas if you describe your columns and state your Excel version. Always test the formula on rows where you already know the answer, because AI can produce formulas that look right and are wrong.

Is it safe to paste office documents into ChatGPT?

Only public material, or material your employer has approved for that tool. Client data, salaries, personal identifiers and confidential business information should never go into a personal or unapproved account.
